Customer support and BPO interview: preparing for voice and chat rounds

Customer support and BPO roles help customers by phone (voice), chat or email. Interviews usually check how clearly you communicate, how calmly you handle a difficult customer and whether the shift suits you. Processes differ by employer; treat this as practice material, not any employer's selection criteria.

Understand the role first

Read the vacancy: is it voice, chat or email? Inbound or outbound? Domestic or international customers? Which languages? What shifts, including night or rotational shifts? These details decide what to practise.

What each round may check

HR round

Your introduction, why this role, shift preferences, joining date and expectations. Keep answers short and honest.

Communication or voice round

How clearly you speak and listen, often through reading aloud or a short conversation. Practise speaking slowly and clearly.

Typing or writing test for chat roles

Typing speed and accuracy, and short written replies. Practise writing polite, correct answers to common questions.

Operations or manager round

Often a mock call or chat with a customer problem. The interviewer watches how you listen, check facts and agree a next step.

Practise these questions

How would you handle an angry customer?

Let them finish, acknowledge the problem, ask the questions you need, and explain what you will do next and when.

What if you don't know the answer?

Say you will check, use the approved information or ask a senior, and come back with a clear answer. Do not guess.

Are you comfortable with rotational shifts?

Answer honestly. Agreeing to a shift you cannot sustain causes problems later.

A fictional sample answer

Fictional practice answer
โ€œI'm sorry your order hasn't arrived โ€” I understand that's frustrating. May I check your order details? โ€ฆ I can see it's delayed at the courier. I've raised a priority request, and you'll get an update by tomorrow evening. Is there anything else I can help with today?โ€

Use it as a structure โ€” acknowledge, check, act, confirm the next step โ€” and replace it with your own words.

Questions to ask the recruiter

Ask about the process (voice, chat or email), shift timings and weekly off, training period, how performance is measured, and the exact office location. Confirm any transport arrangement rather than assuming it is provided.

Common questions

Do I need perfect English?

It depends on the process. Many domestic roles work in Hindi and English; the vacancy should say which languages are needed.

Is chat support easier than voice?

Not necessarily. Chat needs accurate writing and handling several conversations at once.
